The Opportunity
We are seeking a passionate Office Manager to join our team. This is an exciting opportunity for someone who is highly organised, detail-oriented, and passionate about creating a positive work environment.
As an Office Manager, you will oversee the day-to-day operations of our office (centrally located in North Dublin City centre), ensuring that all administrative tasks are completed efficiently and effectively. You will play a key role in creating a welcoming and productive work environment for the Phorest team and will have the opportunity to make a real impact on the success of our company.
What you will do
- Office Management
Act as contact for general facilities queries within the Dublin office
Maintain the office and arrange any necessary maintenance/repairs
Manage the office budget, procure supplies and maintain printing/photocopying equipment, stationery
In charge of facilities management, office layout and responsible for managing office security systems
Assist with all logistical arrangements
Liaise with the landlord, contractors and suppliers & find cost-effective ways to get the job done
Manage the office administrative systems such as the desk management software, front door access system, visitors logs, etc.
Ensure all post/files are opened, maintained, archived, and disposed of if necessary (in line with GDPR guidelines)
- Workplace Experience
Manage the organisation of Canteen Sessions, Employee Gifting and support Company Events like Summer & Winter Gatherings, Christmas parties and ad-hoc in-office events
Bring new ideas to improve the workplace experience globally and help ensure we have a creative, fun and productive working environment
Manage ergonomics globally and conduct the necessary ergonomics assessments (training will be provided)
Manage access to shared office spaces globally
- Act as Health and Safety Officer for the Phorest Dublin office
Arrange First Aid Training, Fire Training, Fire Drills, New Starters H&S training
Conduct risk assessments where necessary and action outcomes
Respond appropriately to emergencies or urgent issues as they arise and action them as required
Lead the front-of-house function, ensuring that we provide great service to Phorest colleagues and anyone using the Phorest office
What you bring
3+ years experience in a similar role in a busy office environment (experience of a hybrid model preferred)
Familiarity and working knowledge of G-suite / MS office
Strong organisational and time management skills
Relevant health and safety experience (certifications/accreditations would be a plus)
A team spirit with excellent communication and interpersonal abilities
Ability to multitask and prioritise tasks effectively
Experience in managing a team and delegating tasks
Ability to problem-solve and make decisions independently
A proactive mindset and ability to take initiative
Ability to maintain confidentiality and handle sensitive information
